Event Coordinator, Humor to Fight the Tumor If you love bringing people together for a meaningful cause—and thrive on turning big ideas into seamless, memorable experiences—this role is for you. Humor to Fight the Tumor is a Minneapolis-based nonprofit dedicated to raising funds for brain tumor research and quality-of-life programs, while building a strong, supportive community for patients, families, and caregivers. Through signature events and storytelling, we bring people together in powerful ways to drive impact and connection. The Event Coordinator will play a key role in bringing our annual gala to life—an inspiring evening that brings together 700+ guests and raises over $500,000 annually. Working closely with the Executive Director and event committee, this role will own event logistics and execution, ensuring a polished, high-quality experience from planning through event day. This role is primarily focused on logistics and coordination, with some support for sponsor-related event needs. Event Planning & Logistics

  • Lead logistical planning for the annual gala, including timelines, vendor coordination, and event setup
  • Serve as primary liaison with the venue and key vendors (catering, rentals, décor, etc.)
  • Manage floor plans, seating logistics, and overall guest flow
  • Coordinate event materials, including signage and printed materials

Committee & Volunteer Coordination

  • Partner with the Executive Director to support gala committee efforts
  • Help organize meetings, track action items, and follow up on key tasks
  • Coordinate volunteer roles including registration, setup, and event-day support
  • Serve as a primary point of contact for volunteers on event-day logistics

Registration & Guest Experience

  • Manage the event registration system and attendee lists.
  • Coordinate guest communications related to registration, event logistics, and reminders.
  • Oversee seating assignments and table arrangements

Program & Production Support

  • Develop and manage the gala script and run-of-show in partnership with the Executive Director.
  • Coordinate with A/V and production vendors (staging, lighting, technical needs)
  • Support program elements, including honoree videos

Sponsor & Event Coordination

  • Coordinate sponsor logistics for the event, including logo collection, deliverables, and recognition
  • Support sponsor and VIP experience on event day

Event-Day Management

  • Lead event-day logistics and coordination.
  • Manage vendors, volunteers, and event setup to ensure smooth execution.
  • Troubleshoot and problem-solve in real time

Additional Responsibilities

  • Support auction logistics and item coordination
  • Assist with post-event wrap-up and evaluation
  • Provide support for organizational operations and donor management (e.g., data entry, tracking, and coordination as needed)

Qualifications

  • 2+ years of event planning or coordination experience (nonprofit or fundraising events preferred)
  • Highly organized with strong attention to detail
  • Ability to manage multiple priorities and deadlines
  • Excellent communication and follow-through
  • Comfortable working both independently and collaboratively
  • Passion for mission-driven work

Details

  • $25/hour, approximately 10–20 hours/week
  • Timing: June–October (with heavier hours closer to the event)
  • Hybrid/flexible work, with in-person presence required for event-related activities
