Position Overview

arenaflex is seeking a highly competent Denial Management, Pre‑Registration, Authorization, and PFCC Specialist who will also serve as a Quality Assurance Trainer for our medical billing department. In this dual‑role, you will be responsible for managing end‑to‑end revenue cycle processes, ensuring accurate claim submissions, and delivering top‑tier training to new and existing team members. Your work will directly influence the speed and accuracy of payments, improve patient satisfaction, and uphold the highest standards of compliance across all payer interactions.

Key Responsibilities

Revenue Cycle & Denial Management

  • Monitor and reconcile accounts, following up with insurance carriers to resolve pending payments.
  • File corrected claims, appeal denied claims, and track re‑processing to secure timely reimbursement.
  • Maintain a detailed understanding of payer policies, including government and commercial reimbursement guidelines.
  • Utilize arenaflex’s proprietary billing platform (formerly known as EPIC) to enter data, generate reports, and audit claim accuracy.
  • Collaborate with cross‑functional teams—such as coding, clinical, and finance—to ensure seamless information flow and reduce claim errors.

Quality Assurance & Training Delivery

  • Continuously monitor the quality of billing transactions, conducting regular audits to identify trends and opportunities for improvement.
  • Develop, implement, and report on quality control measures that align with industry best practices and regulatory requirements.
  • Design and deliver structured curriculum in both live virtual classrooms and on‑demand learning modules for groups and individual learners.
  • Provide one‑on‑one coaching sessions to address performance gaps, reinforce best practices, and support remediation efforts.
  • Maintain up‑to‑date job aids, process documentation, and training materials that reflect the latest changes in payer regulations, state/federal laws, and arenaflex’s internal standards.
  • Assess new‑hire performance through systematic monitoring, evaluation, and reporting to both local managers and central leadership.
  • Partner with supervisors and senior leaders to pinpoint performance issues and develop targeted intervention plans.

Essential Qualifications

  • Minimum of 3 + years experience in denial management, accounts receivable collection, pre‑registration, or authorization within the U.S. healthcare environment.
  • Demonstrated proficiency with arenaflex’s billing software (formerly EPIC) and a solid grasp of its workflow.
  • Strong knowledge of denial management processes, pre‑registration, authorization, and PFCC (Patient‑First Care Coordination).
  • Thorough understanding of healthcare industry terminology, billing cycles, and reimbursement mechanisms for both government and commercial payers.
  • Excellent oral and written communication skills, with the ability to convey complex concepts clearly to diverse audiences.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook) and the ability to navigate Windows‑based computer systems efficiently.
  • Self‑motivated, capable of working independently while meeting strict deadlines and multitasking across multiple priorities.
  • High ethical standards, professional demeanor, and a courteous approach to internal and external stakeholders.
  • Accurate typing and data‑entry speed of at least 40 wpm.

Preferred Qualifications & Additional Skills

  • Bachelor’s degree in Health Administration, Business, or a related field (or equivalent experience).
  • Certification in Medical Billing & Coding (CPC, CPB, or similar) or a background in health information management.
  • Experience designing and delivering virtual training programs, preferably in a remote‑first organization.
  • Familiarity with compliance frameworks such as HIPAA, HITECH, and payer‑specific accreditation standards.
  • Strong analytical abilities, with a track record of using data to drive process improvements and training enhancements.
  • Demonstrated ability to influence change, coach peers, and foster a culture of continuous learning.
