The Operations Program Manager will drive execution and operational visibility across the organization, managing complex initiatives and ensuring alignment among stakeholders.

Responsibilities

  • Drive complex, cross-functional initiatives end-to-end that advance enterprise-level objectives, setting clear objectives, timelines, and success metrics, identifying opportunities, resolving risks and blockers before they escalate, and ensuring alignment across stakeholders without formal authority
  • Build and operate scalable workflows and processes (0→1) that improve efficiency, reliability, and throughput across the operations domain
  • Lead recurring operational touchpoints including status reviews, cross-team syncs, and decision forums, with a consistent bias toward action and resolution
  • Design and maintain tracking mechanisms and reporting frameworks that give leadership a real-time view across workstreams, KPIs, and risk indicators, surfacing trends with analysis and recommended actions. Requiring data collection, reconciliation and follow up on inputs across a broad set of inter-departmental contributors
  • Develop leadership-facing materials that distill complexity into clear, decision-ready narratives
  • Leverage data and AI tools to extract insights, validate assumptions, and inform decisions - synthesizing findings into clear recommendations that guide organizational priorities
  • Lead the development and maintenance of SOPs, workflows, policies, and playbooks, owning the quality, consistency, and accessibility of all operational documentation and establishing governance standards that define how work gets done
  • Partner with program management leadership to champion consistent adoption of operational frameworks and reporting cadences across functions – influencing how teams work, building credibility with operational stakeholders org-wide, and ensuring governance standards take hold as a sustained habit rather than a one-time rollout
  • Drive execution of cross-functional business initiatives such as pricing changes, product updates, or policy rollouts, coordinating all internal components including stakeholder alignment and readiness. Own the customer-facing communications that follow, including developing and applying segmentation logic across a large and varied customer base. Manage messaging, timing, and delivery for each segment through to completion
  • Support the administration and optimization of contract lifecycle management and project management systems, serving as an operational owner for tooling that underpins how work gets tracked, managed, and executed across the team

Skills

  • 5 + years in operations, business operations, program/project management, or a related field at high-growth companies, with demonstrated ability to manage competing priorities and drive work to completion; background in consulting, finance, or business operations preferred but not required
  • Proven ability to work across teams and influence stakeholders without direct authority, building credibility through follow-through and consistency
  • Analytical mindset and intellectual curiosity, able to independently deconstruct complex problems into structured, testable components, comfortable sitting with ambiguity long enough to fully understand a problem before proposing solutions, and presenting findings with a clear point of view
  • Strong attention to detail, with a habit of self-reviewing and pressure-testing work before it reaches others
  • Self-directed and structured in approach, asks the right questions before executing rather than after, with strong systems-design instincts - anticipating bottlenecks and iterating based on feedback
  • Working proficiency with project management tools such as Monday.com, Jira, or similar; willingness to learn and optimize how they are used
  • Solid proficiency in Excel or equivalent data tools and comfort using AI tools to accelerate analysis, draft documentation, and streamline workflows
  • Proficient with MS Suite including SharePoint
  • Strong documentation instincts, able to take ambiguous processes and turn them into clear, usable SOPs
  • Clear, confident communicator who can synthesize information and present to leadership in a way that drives decisions
  • Experience in a scaling startup, SaaS, PE-backed, or healthcare technology environment
  • Familiarity with Confluence or similar knowledge management tools
  • Exposure to Lean, Six Sigma, Agile, or OKR frameworks
