Role Overview – Crew Scheduler (Remote Customer Care)

We are seeking a highly organized, detail‑oriented, and customer‑focused Crew Scheduler to join our Remote Customer Care team. In this pivotal role, you will serve as the central liaison between pilots, flight attendants, dispatchers, and operations leadership, ensuring that crew resources are allocated efficiently, compliantly, and in alignment with both FAA regulations and arenaflex’s internal policies. Your expertise will directly impact flight reliability, crew satisfaction, and overall operational excellence.

The position reports to the Supervisor of Crew Services and works closely with the Head of Operations, Director of Flight Operations, Chief Pilot, In‑Flight Services Manager, and other crew schedulers across the network. This is a full‑time, remote position that requires flexibility to work various shifts, including nights, weekends, and holidays, as operational demands dictate.

Key Responsibilities

Operational Planning & Execution

  • Develop, maintain, and continuously optimize daily and monthly crew schedules for pilots and flight attendants, ensuring maximum utilization while adhering to FAR Part 121, Part 117, and Part 91 requirements.
  • Monitor real‑time crew availability, proactively identify gaps, and execute rapid adjustments to mitigate disruptions.
  • Coordinate with dispatchers to resolve flight‑plan discrepancies, crew‑related constraints, and emergent operational issues.
  • Process crew trades, drop‑outs, cancellations, emergency leaves, and other schedule modifications with precision and timeliness.
  • Secure essential accommodations, deadhead flights, and related logistics for crew members, guaranteeing compliance with company policy and regulatory standards.

Regulatory Compliance & Safety Assurance

  • Ensure all crew assignments comply with FAA regulations, company SOPs, and contractual obligations, including duty‑time limits, rest requirements, and qualification standards.
  • Conduct regular audits of crew schedules to verify accuracy, legality, and alignment with safety protocols.
  • Maintain meticulous records of crew certifications, training completions, and currency requirements.
  • Collaborate with the Safety Management System (SMS) team to identify and remediate potential compliance risks.

Customer Care & Communication

  • Provide exceptional, empathetic support to crew members, addressing scheduling inquiries, policy clarifications, and operational concerns.
  • Communicate schedule changes promptly and clearly, using multiple channels (email, phone, internal messaging) to ensure crew members are fully informed.
  • Maintain consistent, professional correspondence with flight operations, ground staff, and external partners.
  • Document all interactions in the crew management system to support transparency and continuous improvement.

Reporting & Continuous Improvement

  • Generate daily, weekly, and monthly reports on crew utilization, schedule adherence, and operational performance metrics.
  • Identify trends, bottlenecks, and opportunities for process enhancements; propose data‑driven solutions to senior leadership.
  • Participate in cross‑functional meetings to align scheduling strategies with broader business objectives.
  • Assist in the development and refinement of crew scheduling software tools and workflows.

Essential Qualifications

  • Education: Bachelor’s degree in Aviation Management, Business Administration, Operations, or a related field (or equivalent experience).
  • Experience: Minimum 2 years of customer support or airline operations experience, with at least 1 year focused on crew scheduling, dispatch, or flight operations.
  • Regulatory Knowledge: Demonstrated understanding of FAR Part 121, Part 117, and Part 91 crew scheduling requirements.
  • Technical Proficiency: Strong command of Microsoft Office Suite (Excel, Outlook, Word) and familiarity with web‑based scheduling platforms.
  • Communication Skills: Excellent verbal and written communication abilities, with a focus on clarity, tone, and detail.
  • Analytical Ability: Comfortable performing numerical calculations, interpreting data, and making quick, accurate decisions under pressure.
